Administrative assistant/Business Support Coordinator

Our client, an established and growing mechanical contractor, has an immediate opening for a detail-oriented and experienced Business Support Coordinator to support their Operations teams.
 The ideal candidate will have at least three years of relevant experience and a strong understanding of supporting internal teams in a fast-paced, proactive, and collaborative environment. KEY RESPONSIBILITIES
  • Provide comprehensive administrative support to the Operations Team, ensuring smooth day-to-day operations.
  • Schedule, coordinate, and manage internal and external meetings, including client engagements, ensuring all stakeholders are aligned.
  • Act as the point of contact for service providers related to IT and VoIP telephone systems, ensuring timely and effective resolution of issues.
  • Oversee and maintain internal meeting schedules, dashboards, and critical business documents, ensuring all information is up-to-date and accessible.
  • Draft, format, and proofread templated proposals using Microsoft Word and Excel, ensuring consistency and attention to detail.
  • Assist in creating and managing project bids and tenders, supporting timely and accurate submissions.
  • Coordinate operational meetings, take detailed notes, assign action items, and follow up to ensure outstanding tasks are completed.

KEY QUALIFICATIONS
 
  • Minimum of 3 years of experience in a business support, executive assistant, or administrative role, with a proven track record of providing high-level support to senior leadership.
  • Demonstrated ability to effectively coordinate and support cross-functional teams, ensuring smooth collaboration and project success.
  • Advanced proficiency in Microsoft Office (Word, Excel, Outlook), with the ability to create and manage professional templates and documents efficiently.
  • Exceptional organizational, communication, and follow-up skills, ensuring that all tasks and projects are completed accurately and on time.
  • Detail-oriented, proactive, and solutions-driven with a demonstrated ability to anticipate needs and solve problems independently.
  • Experience working within the construction or mechanical industry an asset
